Privacy Policy
Privacy Policy
The DGaO welcomes your visit to our website and your interest in our association. We take the protection of your private data seriously and want you to feel comfortable when visiting our website. The protection of your privacy when processing personal data is an important concern to us, which we take into account in our business processes.
We process personal data collected during visits to our websites in accordance with data protection regulations. Our websites may contain links to websites of other providers to which this privacy policy does not extend.
You can visit this website without providing any information about yourself. The data that arises technically during a visit and what we use it for is described in the sections “Hosting and server logs” and “Audience measurement with Matomo”.
We only process further personal data if you provide it to us yourself, for example by e-mail or by submitting a manuscript. Details and legal bases are given in the section “Contact and submission of manuscripts”.
Hosting and server logs
This website runs on a server of Hetzner Online GmbH in a data centre in Germany. Fonts, icons and program libraries are delivered from this server itself; visiting the website does not load any content from third-party servers.
The web server keeps no access log for the website itself. Requests via http:// or via the address with “www.” are redirected by the server to https://dgao-proceedings.de; before the redirect, these requests are recorded in the server’s general access log with IP address, time, requested address and browser identifier. In addition, there is an error log which, if an error occurs, may contain the IP address, the time and the requested address. Both logs are rotated daily and deleted after 52 days. The legal basis is Art. 6(1)(f) GDPR; our legitimate interest lies in the secure and trouble-free operation of the website.
Cookies
For visitors, this website sets at most one cookie: if you choose a language (via the language switch or a link specifying a language), we store this choice for 30 days in the cookie “lang” so that pages appear in the chosen language. The cookie contains only the language code and is not set without a language choice. It is technically necessary for the function you requested (Section 25(2) No. 2 TDDDG).
Only for the administrators of the website, the login area sets a session cookie and the cookie “dgao_admin”, which excludes their requests from audience measurement. Both last until logout or until the browser is closed. The website sets no other cookies.
Contact and submission of manuscripts
The website has no contact form and no upload function. If you write to us by e-mail, we process your e-mail address and the content of your message in order to handle your request (Art. 6(1)(f) GDPR; for enquiries about a publication, Art. 6(1)(b) GDPR).
Manuscripts are submitted by e-mail. The manuscript template on the “Submit Manuscript” page is pre-filled with the details of your contribution already published in the conference programme (title, authors, affiliations, contact address); the website does not store any input in the process. The editorial office transfers your submission (manuscript PDF and signed copyright agreement) into the website administration, reviews it and publishes the article.
The names of the authors, their affiliations, their ORCID iD where available and the e-mail address of the corresponding author are published with the article. For the DOI and URN, we pass data on to DataCite and the German National Library (see “Disclosure of data”).
Disclosure of data
The following process data on our behalf as data processors: Hetzner Online GmbH, on whose server this website runs (hosting), and Tobias Pruss, who operates the Matomo instance used for audience measurement.
To publish the articles, we transmit the bibliographic data including the names, affiliations and ORCID iD of the authors to DataCite e.V. (Hanover), which registers the DOI; this metadata is publicly available worldwide via DataCite. For each new article we register a URN with the German National Library; only the URN and the web address of the article are transmitted.
Beyond this, we do not pass on personal data, in particular not for advertising purposes.
Audience measurement with Matomo
To learn how often the pages and articles of this online journal are viewed and downloaded, we use the open-source software Matomo. We use our own Matomo instance on the same server as this website (Hetzner Online GmbH, Germany), which Tobias Pruss operates on our behalf as a data processor. The data is not passed on to third parties and is not combined with other data sources.
Measurement takes place exclusively on the server: when a page or a PDF is requested, our web server transmits the address of the requested page or file, the page title, the address of the referring page (referrer), the browser identifier (user agent), the language set in the browser, the time and, for searches, the search term and number of results to Matomo. Your IP address is shortened before transmission (IPv4 addresses by the last two bytes, IPv6 addresses to the first 48 bits), so the full address never leaves our web server.
Audience measurement sets no cookies and runs no code in your browser. Only the information that your browser sends to our web server anyway when requesting a page is evaluated; no information is stored on or read from your device. We do not create usage profiles; access data is only evaluated in aggregated form, such as the number of visits, page views and downloads.
The legal basis is Art. 6(1)(f) GDPR. Our legitimate interest lies in understanding how the online journal is used, being able to document the reach of the published articles and improving our service. Since no information is stored on your device and no information stored there is accessed, Section 25 TDDDG does not apply; consent is therefore not required.
You can object to audience measurement at any time. If your browser sends the “Do Not Track” (DNT) or “Global Privacy Control” (GPC) signal, your requests are not recorded. You can also send us your objection informally by e-mail to sekretariat [at] dgao [dot] de.
The raw data of individual requests (with shortened IP address) is deleted automatically in Matomo after 180 days. Only the aggregated reports derived from it are kept, i.e. figures without reference to individual visits or persons.
